Research Documentation System

If the work turns out to matter — for governance, for audits, for future support pathways — the records you keep from day one are what hold it together.

When you need this

  • “The testing lives in people’s heads and chat threads.” Experiments are happening, but the record of what was tried and why exists only in Slack messages, commit logs and memory.
  • “We don’t know what a good research record even looks like.” Nobody on the team has run a documented investigation before, and starting from a blank page keeps getting deferred.
  • “We were asked for evidence once, and it was painful.” A board question, a due-diligence request or a review exposed how thin the paper trail was — and you do not want to reconstruct history again.
  • “We’re about to start real testing and want to record it properly.” The pathway is designed, the experiments are queued, and the cheapest time to build the record-keeping habit is before the first test runs.

What we deliver

  • Evidence log design
  • Experiment record templates
  • Documentation framework
  • Audit trail practices embedded in the team’s workflow
  • Evidence log design. A log structure that captures what was tried, when, by whom and with what result — designed around how your team actually works, not around a template.
  • Experiment record templates. Ready-to-use records for each test cycle: hypothesis, variables, method, observations and conclusion, consistent across the whole project.
  • Documentation framework. The overall system — what gets recorded where, who owns each record, and how documents relate — so evidence accumulates instead of scattering.
  • Audit trail practices embedded in the team’s workflow. Recording habits built into the tools and rhythms your team already uses, so the trail keeps itself without a separate documentation project.

Good documentation supports R&DTI readiness, but readiness depends on activities, evidence and self-assessment — records alone do not make a project eligible.

How it connects

A documentation system is designed around a pathway, so this step usually follows R&D Pathway Design. If we then stay involved in running the research, the system feeds directly into RSP-supported Research Delivery, where we keep the record straight across the project cycle.

What a defensible record looks like, step by step, is set out in our research approach — this service is step five of that value chain. Or see all five services.

Boundaries

This service does not determine R&DTI eligibility and is not tax, legal or grant advice. We design and embed the record-keeping system; how any records are later used in a self-assessment or support application is a matter for you and your registered advisers — see Innovation Support Navigation for how the pathways fit together.

Want the record to keep itself from day one?

Tell us where your project is up to, and we will design the evidence system around the way your team already works.

A researcher reads your enquiry, not a salesperson — and replies within two business days. That includes telling you when a research pathway is not the right tool.

Start a project assessment

Not sure where your project sits on the pathway? Check your project readiness in two minutes.

General information only — not tax, financial or legal advice. Whether any government support pathway may be relevant depends on your specific activities, evidence and circumstances. Always confirm current rules with the Australian Government (business.gov.au and ato.gov.au) or a registered adviser.
